PropMind AB values your privacy. This policy explains what personal data we process when you visit propmind.se or use the PropMind platform, why we do it and what rights you have.

What this policy covers

This policy covers propmind.se and the PropMind platform: virtual staging, photo editing, floor plans, social media texts, videos and the support assistant.

Our role

  • We are the controller for user accounts, billing, support, website visitors and security logs.
  • For the content a brokerage and its agents upload about properties (photos, floor plans, listing texts), the brokerage is the controller and we process the data on its behalf under our data processing agreement.

What information do we collect?

  • Account: name, email address, company, role and language. Passwords are stored only as a hash.
  • Content you add: projects, photos, floor plans, texts, post drafts, videos and the results the platform creates from them.
  • Support: what you write to us or to the support assistant.
  • Contact and access requests: name, email address, company and your message when you fill in a form on propmind.se.
  • Technical data: IP address, browser, sign-in times, error reports and logs.
  • Billing: the brokerage's invoicing details.

Why do we collect information?

We process your personal data to:

  • Provide the platform and your account, including processing your content with AI to create texts, images, floor plans and videos (performance of a contract)
  • Give support and answer your questions (performance of a contract and legitimate interest)
  • Communicate with you about your account and changes to the service (performance of a contract and legitimate interest)
  • Keep the platform secure, find errors and prevent abuse (legitimate interest)
  • Improve and develop the platform (legitimate interest)
  • Invoice and keep accounting records (legal obligation)

We do not sell your data and we do not use it for advertising.

Who do we share information with?

We use providers that process data on our behalf under data processing agreements. They only receive what is needed for their part of the service:

  • Hosting and databases (EU)
  • Storage of photos and files (Sweden)
  • AI service providers that process photos, floor plans and texts to create the results you ask for (including in the USA)
  • Video rendering
  • Error monitoring and technical logging (may contain IP address and an internal user ID, but not your name, email address or content)
  • Handling of the forms on propmind.se

You can ask us at hello@propmind.se which providers have received your data.

When you publish to a social media account you have linked, the images and text you chose are sent to that platform. See our privacy policy for social media.

We may also disclose data to authorities when the law requires it.

Transfers outside the EU/EEA

Some of our providers are located in, or process data in, countries outside the EU/EEA, such as the USA. We then rely on the EU Commission's Standard Contractual Clauses or the provider's certification under the EU–US Data Privacy Framework. You can request a copy of these safeguards at hello@propmind.se.

How long do we store your information?

  • Account information: during the contract period + 12 months
  • Photos, floor plans and other content: until you delete them. You can delete photos and projects in your account at any time.
  • Support messages: as long as your account exists
  • Contact and access requests: up to 12 months after our last contact, unless they lead to an agreement
  • Logs and error reports: up to 90 days
  • Billing information: 7 years (in accordance with accounting law)

Your rights

You have the right to:

  • Access your personal data
  • Correct inaccurate information
  • Request deletion of your data
  • Restrict processing
  • Object to processing based on legitimate interest
  • Receive your data in a machine-readable format (data portability)

Contact us at hello@propmind.se to exercise your rights. If your request concerns content your brokerage is responsible for, we forward it to the brokerage.

Automated decisions

We use AI to create content for you, but we do not make decisions about you based solely on automated processing that have legal or similarly significant effects.

Data security

All traffic is encrypted with TLS, passwords are stored as hashes and access to production data is limited to authorised staff.

Right to complain

If you are dissatisfied with how we handle your personal data, you can file a complaint with the Swedish Authority for Privacy Protection (IMY) at www.imy.se.

Changes

If we make material changes to this policy, we will tell you in the platform or by email before they take effect.
